New applicants

 

1.            On receipt of new application check following for: 

        a.Name, Address.

b. Contact details: email address (if any) / Telephone.

c. Proposer &/or Seconder have been a member of the ‘Olicana’ Bridge Club for 5 years or more. (5.2 in Club’s Constitution. Check)

d. GDPR instruc1ons are clear re personal details.

e. Dated and Signed.

  1. Scan a copy and email to Webmaster for inclusion (and scrutiny) in members area on

the website for period of no less than 14 days. (AGM 2022)

        3.  After conditions in 2 above are satisfied contact the applicant in writing with a

‘Welcome’ letter or in extraordinary circumstances see 11 below.

4. Email/letter to include the details of how payment of £X (Joining Fee + 1 year

subscription) can be made whilst informing them that on receipt of payment further

action will be taken.

5. On receipt of payment register Applicant as a new member of the Bridge Club with the

EBU and to obtain an EBU Number if applicant does not already have one.

6. Add the new members details to the List of Membership Records held on file. (5.7 in

Club’s Constitution).

7. Add to current Telephone List if applicable.

8. ‘Welcome’ message to new member thanking them etc:

a. Advising them their EBU Number if new or confirm if old.

b. That the Webmaster will be in touch soon with a unique password with instruc1ons how to enter the Members Area on the Website.

c. That a ‘Welcome’ package will be sent from the EBU.

9. Email Webmaster and Treasurer – Member’s name / EBU No. / Email address / GDPR

instructions.

10. Either Membership Secretary or Webmaster add details to Members Area on website.

11. In the unusual event of an applica1on being turned down the applicant should be sent

in writing the reasons why this decision was reached. The applicant should also be

informed that the decision is final but they can if they wish appeal I writing (through the

complaints committee) against the committee decision. I think an appeal goes to the Secretary?

12. File.  Check: where?  On Membership Secretary personal computer?  Hard copy file?

 

I would add possible these two extra items:

  • Keep the membership list up-to-date
